Office administrator to the rescue

Property management businesses that don’t have an office administrator might want to think about hiring one.

Office administrators perform tasks that may seem minor individually, but which combine to take a lot of pressure off other staff and boost their efficiency, according to two finalists in the Office Administrator of the Year category at next month’s Real Estate Business Awards.

Annastasia Kenny from Independent Property Management said agencies without an office administrator might not realise just how much they improve office productivity.

“I feel they probably would [suffer], but they might not know it,” Ms Kenny told Residential Property Manager. “If they had an office administrator, then they probably would find they run more efficiently.”

Ms Kenny takes on myriad duties and also keeps an eye on the rest of the admin staff.

“Someone’s got to order the stationery and do the other bits and pieces – whether the principal, the secretary or someone else – but if an office administrator takes over those extra jobs then they can concentrate on their primary role,” she said.

Melissa Venn from Metro Property Management said some PM companies make the mistake of divvying the duties up among other admin staff.

Ms Venn’s official title is executive assistant to director Leah Calnan, but she takes on all the duties of an office administrator, contributing a lot behind the scenes and keeping the office happy and motivated.

“It’s certainly a role you'd be silly not to have, based around marketing and events and coordination of a lot of different things,” she told Residential Property Manager.

“It’s one of those unrecognised and under-the-radar roles you never really notice until someone does it badly.”
