AI is only as good as the business behind it

Two technology leaders have come to the same conclusion: AI is not the panacea for a PM agency that lacks strong leadership, clear customer focus, and operational discipline.

Alex Whitlock, co-founder of Managed, and Blair Dods, Head of Technology and AI, sat down for The Property Management Excellence (PMX) Podcast, where they both argued that the industry’s focus on AI adoption is misplaced if it comes before fixing the fundamentals.

Whitlock warned that agencies treating technology as a magic solution are set up for disappointment. Instead, he said he believes inefficiencies, a lack of leadership, and an absence of customer focus are the real constraints on agency performance.

“I see bringing technology in where you don’t have the basis to enhance systems, customer relations, mindset, and vision as being very misguided,” Whitlock said.

Dods endorsed this view, noting that many of the problems agencies try to solve with AI could be better addressed through good automation and coding fundamentals.

“A lot of people are using AI when they don’t need to,” Dods said.

“There are so many things with property management that shouldn’t use AI. It should be automation.”

The shared diagnosis is that the rush to adopt AI has created a market where vendors label everything as intelligent, agencies buy in hoping for transformation, and the underlying operational problems remain untouched.

Whitlock posited that the real opportunity for property management lies not in the technology itself but in rethinking the value proposition for property owners.

“I think the biggest missed opportunity in property management comes from principals that run the business,” he said.

“I don’t think they really understand their customer or where they want to take the business.”

Dods agreed, pointing out that agencies handling sensitive financial data and personally identifiable information face serious compliance risks if they implement AI tools without proper governance.

“Financial data, company data, sensitive data – there’s no way I would be connecting that up to an LLM hosted somewhere else. It’s just too much risk,” he said.
